Job Description

JOB SUMMARY

The Tour Associate is accountable for supporting the sales, revenue tracking, and contracting of the Arts Club’s annual 3-show tour. In collaboration with the Marketing & Production teams, the Tour Associate will be primarily responsible for assembling and reporting tour revenue from venues throughout the province, seeking opportunities and implementing plans to increase revenue, and building and maintaining relationships with theatre managers around the province and beyond. The role is also responsible for supporting the Associate Director of Communications and the Marketing Manager in copywriting, editing, review, and brand management in various digital and physical collateral materials for touring productions, as well as supporting the implementation of short- and long-term strategic marketing plans aimed at maximizing tour ticket revenue. This includes undertaking tactical work as necessary in support of the Arts Club’s marketing plan, such as direct mail, digital advertising, media buying, and promotions.

This position reports directly to the Director of Marketing & Communications, but will work closely with all members of the marketing team, particularly the Marketing Manager, Associate Director of Communications, Sales Systems Specialist, Marketing Coordinator, and Communications Coordinator.

The role will also work closely and liaise with the Executive Director, Director of Finance, and the Artistic and Production team, including the Artistic Director and Director of Production, and the stage management team including the Tour Technical Director, Company Manager, and Producer.

DUTIES AND RESPONSIBILITIES

        Consult with and report out to the Director of Marketing & Communications, liaise with the Marketing Manager and Associate Director of Communications, and occasionally meet with leadership including the Director of Production, Artistic Director, and Executive Director as necessary to the successful sales and implementation of the tour season.

        Track goals and benchmarks by setting up and maintaining reports for revenue and sales and providing forecasts and revenue tracking for tour productions, and ultimately support the Director of Marketing & Communications in setting those goals of future seasons.

        Facilitate communications between the Arts Club and theatre managers around the province and act as the primary marketing, sales, and communications contact for tour venue managers.

        Ensure that Marketing Contacts at all tour venues have access to current creative assets for tour productions and communicate updates as needed.

        Consult with the Marketing Manager on marketing plans and expense budget for the upcoming season and support the Marketing & Communications team in carrying out marketing plans, ensuring accurate proofing and timely submission of creative materials for touring productions.

        Coordinate with the Marketing Department’s communications team and Production staff on the design and distribution of the show programme for each tour and front of house billing displays at the tour venues.

        Update and proof tour presentation contracts for all venues for the upcoming tour season, including pricing and inventory plans, and support contract negotiations for future seasons.

        Compile data for tour marketing campaigns in Tessitura.

        Assist the Associate Director of Communications and the Marketing Manager in copy writing and editing for ad sales and engagement materials, as well as copy review of other written materials.

        These duties may change as the Arts Club’s leadership identifies the need at any time.

SKILLS AND COMPETENCIES

        Strong written and verbal communications skills.

        As this role is supporting live theatre, some experience in theatre and the performing arts is an asset.

        Intermediate skills with Microsoft Office suite, including using excel spreadsheets and formulas to calculate and track sales revenue and expenses.

        Fluency with technology and digital collaboration tools.

        Experience with an integrated ticketing database, specifically Tessitura, is an asset.

        Experience with Prospect2 or similar email marketing tools is an asset.

        Experience and demonstrated ability in writing compelling sales copy for multiple platforms.

        Effective budgeting skills and a demonstrated ability to work with limited resources while still being creative and effective

        Ability to manage multiple projects simultaneously in a fast-paced environment.

        Ability to prioritize work, pay attention to detail, demonstrate a strong sense of urgency, and carry projects through to completion in a timely manner.

        Results-oriented team player with the ability to take initiative and drive programs.

QUALIFICATIONS

        Post-secondary education in theatre or business, with a combination of 2–4 years of education and professional experience.

        A valid driver’s license and clean driving record is an asset.

        Familiarity with not-for-profit performing arts marketing plans.

        A love for theatre and the performing arts is an asset.

ADDITIONAL DETAILS

  • Salary: $28,410 per annum
  • Employment Type: Part-time, 24 hours (3 days) per week to be worked between Monday to Friday, 9:00 AM–5:00 PM*.
  • *Some evenings/weekends are required, including availability after office hours to manage any emergencies when the cast is on tour. Scheduling flexibility will be required as some weeks may require up to 5 days of work to adjust hours for periods of high activity.
