Job Description

POSITION SUMMARY

Reporting to the Associate Director of Development, the Events Coordinator will be an integral part of the Development Team providing events and administrative support throughout the year. Your main responsibility will be coordinating the logistics and execution of all corporate sponsor and member special events and activations. During the festival season, you will work closely with the Operations and Box Office teams as the Development representative to ensure clear communication and to balance the needs of the Development department with Bard’s overall Festival operations. Outside of the Festival season you will support the Development team with a variety of administrative tasks giving you the opportunity to support all aspects of fundraising at Bard on the Beach. You will also be the Development representative for the Bacchanalia Gala Dinner and Auction, Bard’s largest fundraising event. RESPONSIBILITIES

  • Supports the Development team to coordinate all corporate sponsor and member events and activations. 
  • Point person for the on-site logistics and execution of all Development events including setting up the event space, briefing staff, supervising event volunteers, managing event logistics, and striking the event. 
  • Liaise between the Development team and the Operations and Box Office teams to ensure clear communication and to balance the needs of our clients with Bard’s operational requirements.  
  • Collaborates with the Operations department to establish clear operational processes for marquee events. 
  •  Understands on-site Festival operations to clearly communicate with FOH staff and ensure the safety of guests and event volunteer team.
  • Communicates new ideas or concerns and assists in the development and implementation of the best possible events experience for guests, staff, and volunteers. 
  • General administrative duties throughout the year to support the Development team as needed including processing membership donations and tax-receipting. Frequency of administrative tasks is dependent on the events schedule.
  • Development representative for Bacchanalia Gala Dinner + Auction supporting the Gala project manager and working team. 

QUALIFICATIONS

  • Experience in working with the public and creating a welcoming space.
  • Events coordination experience is highly desirable, but not essential; equivalent experience will be considered. 
  • Demonstrated experience managing or supervising staff or volunteers. 
  • Clear communication skills, in writing and in conversation. 
  • The ability to respond to last-minute requests in a positive and productive manner.  
  • An interest in the theatre and the arts and a willingness to learn and progress in the role. 
  • Requires lifting approximately 30-40lbs and being on your feet for extended periods of time.
  • Serving It Right is required. Bard on the Beach will cover the cost of certification.
  • You will need to get from the BMO Theatre Centre to the Festival site in  Senákw/Vanier Park and other event locations. Bard can provide car share and parking options as per our policies. 

HOURS
One-year, full-time contract. 37.5 hours per week. 

Between October and May the position allows for a hybrid (remote and in-person) work schedule, to be negotiated with the Associate Director of Development in accordance with Bard’s policies. The primary work location is at the BMO Theatre Centre in Olympic Village.

From June through September your work location be split between the BMO Theatre Centre and the Festival site in Senákw/Vanier Park. Evening and weekend availability will be required depending on the event schedule with a 2pm-10pm work schedule on event days.
