Job Description

Reporting jointly to the Artistic Director and General Manager, the Production & Facilities Manager oversees all production-related activity both in-house and on tour, the rental and the maintenance of the Green Thumb Theatre Facilities (Office, Studios) as well as supervision of all technical aspects of Green Thumb’s productions and special events, including the hiring and contracting of applicable personnel.

The Production & Facilities Manager works collaboratively with other Green Thumb staff members: with the Artistic Director on creative design aspects of production; the Tour &  Company Manager to cost out all touring and other productions; and reporting on budget progress, building operations, and human resource issues to the General Manager.

The Production & Facilities Manager provides professional support to the Artistic Director, General Manager, and Board of Directors and acts as an advocate of Green Thumb Theatre to arts professionals, various stakeholders, and the community at large.

The Production & Facilities Manager hires and oversees the work of:

  • Designers (in collaboration with the Artistic Director)
  • Stage Management
  • Technicians
  • Carpenters and other craftspeopleVancouver School Board (VSB) contractors (oversees)

Key Responsibilities:

Tour Support

  • In conjunction with the Tour & Company Manager, acts as primary contact for stage management and artists on tour
  • Acquires all technical equipment, either by lease or purchase
  • Oversees design and construction of sets
  • In conjunction with the Tour & Company Manager, make all arrangements for freight of sets, props, costumes, and other technical elements of productions, as required for tours and showcases
  • Instruct touring companies with the set-up and break-down of sets and props, including van load-in and load-out and driving practice with company members
  • Providing technical assistance to touring companies, as needed

Negotiation, Contracting, and Administration

  • Negotiating and preparing CTA engagement contracts for all stage management
  • Negotiating and preparing ADC contracts or letters of agreement, as appropriate for all designers
  • Engaging all technicians and craftspeople
  • Keep detailed documentation of all production activities, including final prompt scripts, receipts, financial reports, copies of agreements, memos, invoices, etc.
  • Prepare ATA carnets as needed for foreign tours, showcases, and special events
  • Is responsible for the occupational health and safety of all production personnel and keeping abreast of all regulatory and best practices in the industry
  • Oversees all health and safety measures, with reference to ActSafe and Worksafe BC

Planning & Management

  • Coordinate and chair all production meetings
  • Participate in planning activities and execute aspects of the Strategic Plan which fall within the scope of the position

Budget Management

  • Create production budgets for the season in collaboration with the Tour & Company Manager and General Manager
  • Working with the Society accountant, manage and track expenses
  • Acquisition and distribution of all production petty cash and stage management credit cards and/or gasoline cards
  • Authorize and monitor usage of petty cash, credit cards, and/or gasoline cards
  • Report to the General Manager on any variances between budget projections and actual results regularly

Facility and equipment management and maintenance

  • Oversees and manages all building and facility-related activity
  • Ensures that all technical equipment is maintained in good working order
  • Arranges for dry, clean and safe storage of sets, props, costumes and other production elements
  • Arrange for van maintenance of Green Thumb’s vehicles as required by the CTA, ICBC and in any case, for safe transportation of sets, props, costumes, and personnel
  • Arrange for rental vehicles, as required
  • Oversee and manage all facility-related issues and upgrades
  • Contact person for alarm security company
  • Main contact with the Vancouver School Board (VSB)
  • Oversees and manages all technical equipment rentals 

Facility Rentals

  • Fields rental inquiries and books rental clientele
  • Works with Outreach and Communications staff members to promote the facility to external clientele
  • Maintains rental booking calendar

Personnel Management

  • Recruits, trains, and supervises all Stage Management personnel
  • Ensures that all team members are adequately trained on systems required to execute their jobs successfully
  • Ensures that the team is aware of Green Thumb Policy and procedures and receives all required Occupational Health and Safety orientation 

Special Events & Other

  • Assist the General Manager, Artistic Director, and Board of Directors with technical elements of Special Events
  • Participate in company events within the scope of availability and scheduling
  • Undertake or implement other production-related duties, as required
