Position: Procurement and Logistics Specialist


Reports to: Director of Production

Employment Type: Full-Time, three-year contract (with potential for extension)


Salary Range: $58,000 – $66,000


Location: Shaw Festival, Niagara-on-the-Lake, ON

OVERVIEW

The Shaw Festival is seeking a detail-oriented and highly organized Procurement and Logistics Specialist to support multiple teams across the organization, including the warehouse, during two major capital projects: the Shaw Artists’ Village and the Royal George Theatre.
This role reports directly to the Director of Production and maintains a dotted-line, consultative working relationship with the Director of Planning, Senior Manager of Facilities and Audience Services, Controller, and Project Manager throughout the construction period.
The position may be extended beyond the completion of these projects, depending on the evolving needs and continued growth of the Shaw Festival.

Job Description

KEY RESPONSIBILITIES


Procurement & Vendor Management
• Lead the procurement of Furniture, Fixtures & Equipment (FF&E), Theatrical lighting/sound equipment and other project-related materials
• Confirm scope and budget with internal teams to align procurement with project goals
• Source and evaluate suppliers, obtain quotes, prepare purchase orders, and manage final costing
• Negotiate contracts and maintain positive vendor relationships
• Track tariffs and assess their impact on project budgets

Project Coordination & Team Engagement
• Collaborate with architects, production teams, IT, and other departments to define and prioritize procurement needs
• Maintain a procurement schedule aligned with construction timelines
• Support Development in identifying gifts-in-kind opportunities relevant to Shaw’s charitable status
• Coordinate installation of procured items with internal teams and external contractors

Logistics & Inventory Management
• Oversee shipping, receiving, and storage logistics, including warehouse operations and onsite containment systems
• Ensure timely delivery and proper storage of all items to support project phases
• Manage warehouse processes to optimize space and efficiency
Documentation & Financial Oversight
• Maintain accurate records of purchases, contracts, and supplier agreements for audit and reporting purposes
• Work closely with the Finance team to ensure procurement aligns with approved budgets and reporting requirements


QUALIFICATIONS

Education & Experience
• Post-secondary education in supply chain management, logistics, business administration, theatre management, or a related field
• Minimum 3–5 years of experience in procurement, logistics, or project coordination—experience in capital or construction projects is an asset
• Familiarity with charitable or non-profit organizations is considered an advantage
• Familiarity with theatrical production equipment would be an asset
Technical Skills
• Strong knowledge of procurement processes, budgeting, and vendor negotiations
• Proficient in Microsoft Office
• Understanding of shipping logistics, warehousing, and inventory control
• Knowledge of tariffs and their financial implications is an asset
Organizational & Communication Skills
• Excellent attention to detail with strong organizational and time-management abilities
• Proven ability to manage multiple priorities and meet deadlines in a dynamic, project-based environment
• Effective communicator and collaborator across departments and with external stakeholders
• Comfortable working both independently and as part of a team


EMPLOYMENT TERM
• Anticipated start date: Late May or June 2025.
• Contract Duration: Initial term aligned with the Shaw Artists’ Village and Royal George Theatre projects (May/June 2025–June 2028), with potential for extension
• Work Location: Onsite presence required in Niagara on the Lake, Ontario
