BTW is Canada’s longest running theatre company dedicated to the works of Black and diasporic communities. Its mission is to promote and produce outstanding theatre that educates, entertains and inspires. The company strives to create greater cross-cultural understanding by expanding the representation of Black Canadian artists. Currently the Artist Mentorship Program trains one cohort of emerging artists per year with a showcase at the end of the sessions.

Job Description

Black Theatre Workshop (BTW) is currently seeking an Office Coordinator to coordinate various projects within our team. This position coordinates the administrative aspects of the artist mentorship program, our box office and school tour.

Responsibilities include

A.    School Sales & Box Office

  • Coordinate all aspects of school sales for group bookings.
  • Plan and execute all aspects of the box office in liaison with the various venues.
  • Take ticket reservations including in-coming reservations, reservation sheets, confirmation calls, telemarketing campaigns.
  • Contact potential groups and target audience markets for group sales.
  • Manage box office issues that may arise, answer questions and solve problems.
  • Collect and process data from Audience Surveys.
  • Manage the Box Office on site at events, including complementary tickets for openings.
  • Coordinate and train volunteers and ushers when needed.
  • Establish new box office initiatives.

B.    School Tour Coordination

  • Liaison with schools to facilitate the dissemination of BTW production information.
  • Develop and maintain strong relationships with school representatives and coordinate visits and workshops in the schools as requested.
  • Be responsible for the logistical and organizational aspects of the school tour.
  • Contribute ideas and suggestions in the overall program process.
  • Liaise with the Producer and Stage Manager to ensure that information needed is organized and shared.
  • Prepare study guides for productions as needed.

C.    Artist Mentorship Program

  • Coordinate the admin needs of the program as required including communication with artists.
  • Coordinate contracts with program participants and artists.
  • Assist as needed on any program funding requests and final reports.
  • Coordinate any information needed for marketing purposes.
  • Develop and/or maintain records of potential emerging artists, teaching staff, etc., and maintain strong relationships with the artistic community.

Qualifications and key competencies

  • Experience in a non-profit or arts-based organization is a plus   
  • Proven aptitude for organizing and planning
  • Strong collaborative decision-making abilities
  • Knowledge of the local and national theatre landscape would be a plus
  • Excellent written and oral communication skills in English; professional fluency in French required

Salary range

  • $20-22/hour (based on experience).
  • 35 hours a week
  • 2 weeks paid Winter Holiday break
  • 2 weeks summer vacation (additional summertime off can be arranged)
  • Start date in August 2024
