Job Description

Position Overview:

Reporting to the Production Manager, the Company Manager will work at facilitating the smooth and efficient operation of Production Department by assisting the Production Manager (PM) and Artistic Director (AD) in ongoing administrative and artist liaison duties, annual show specific assignments and education related coordination, outreach and planning. This position requires excellent verbal and written communication skills. The candidate will be a problem solver, highly organized, self-motivated and have an ability to work in a deadline oriented and collaborative environment.

 

Key Responsibilities:

Producing and Artistic Administration

· Coordinating auditions and casting

· Serving as auditor/reader/coordinator for auditions and casting calls

· Keeping hard copy and electronic “Talent Binders” in order and up to date

· Coordinate guest artists bios and headshotsin collaboration with marketing.

· Manage the dance studio space booking calendar for guest artist use or paid rental bookings.

· Oversee annual production van maintenance schedule, update driver insurance as required, collect mileage and fuel logs.

· Prepare and deliver scripts for guest artists and stage management

· Archive all production materials (including set models, stage management prompt scripts etc)

· Coordinate show materials or rentals as required.

· Calendaring and scheduling for department activities and personnel as required.

· Respond to emails and communications in a timely manner.

· Role model collaboration, teamwork and the CTF communication credo.

· Support other production departments and the PM or AD as required.

· Other duties as required by the PM or AD

 

Artist Liaise and Hospitality Management

· Distribute company cards to guest artists and new production staff.

· Distribute comp ticket booking information to guest artists

· Manage the guest artist bicycle rental program including annual maintenance for bikes.

· Distribute media packages/show photos to cast & creative team

· Coordinate rehearsal supplies with stage management

· Coordinate first day of rehearsal snacks, Q to Q snacks and opening night reception.

· Other duties as required by the PM or AD

 

Artist Transportation and Housing

· Transport or arrangement of transport for guest artists

· Completing move in/move out walk throughs with guest artists (to assess damage and/or cleanliness before the next occupant) and complete tasks that have been missed when needed.

· Cleaning or booking cleaning staff for guest artist housing when required

· Manage household furnishings, cleaning supplies etc. and support as a property overseer.

· Communicate housing rules and expectations with guest artists and housing vendors.

· Maintaining positive relations with housing vendors.

· Coordinate and execute guest artist housing contracts, rent collections and provide rent receipts.

· Coordinate and execute rental fees between CTF and housing vendors.

· Maintain an accurate and up to date housing inventory and directory and continue to source new housing options for guest artists.

· Other duties as required by the PM or AD

 

Education and Community Engagement Activities

· Managing, formulating, developing, and implementing projects and programs that support the goals, mandate, and operations of CTFS, including Education Programs.

· Maintaining and growing CTFS’s core audience and education stakeholders, serve and raise community support and involvement, and advocate for CTFS regionally and in the broader arts community.

· Work to exceed programming costs through revenues related to activities, thereby sustaining activities, growing programming, and offsetting administrative costs.

· Coordinate school/community/member events.

· Coordinate rentals of theatre, dance studio or rehearsal spaces with school/community groups.

· Developing, managing, and executing the workshops including ISLAND SAVINGS DISCOVER THEATRE WORKSHOPS. May include teaching and facilitating up to 50 workshops annually. Developing auxiliary educational materials surrounding education programs with Marketing and Development. See the Island Saving Agreement for further details.

· Maintaining clear lines of communication with teachers through face-to-face meetings, phone, mailings, emails, or visits. Attend secondary school Plays, VI regional performing arts festivals, special events (Chemainus Elementary Breakfast with Santa) as opportunities to support schools and represent CTF. Initiate booking for school groups in conjunction with Group Sales Coordinator.

· Developing, coordinating, and planning Secondary and Post-Secondary educational opportunities. These may include work experience opportunities (WEX), Post-Secondary Apprenticeships and other advanced opportunities with the Production and Administrative staff and respective educational institutions.

· Other duties as required by the PM or AD

 

 

Required Qualifications & Skills:

· A collaborative, creative, and strategic thinking individual with experience in theatre production or similar background.

· Self-directed, able to identify and undertake a task with limited direction or information when required.

· Strong organizational, and project management skills.

· Strong verbal and written communication skills.

· Ability to switch focus and effectively prioritize tasks.

· Experience managing and working within a budget.

· Willingness to learn and develop skills.

· Comfortable working in dynamic and deadline-based environment.

· Experience working in a team-based collaborative environment with a positive attitude towards delivering high-quality presentations.

· Holds safety in high esteem and familiar with guidelines and regulations from Worksafe BC, CAEA, Actsafe and industry standards.

· Ability to work with diplomacy and tact with a wide range of relevant people and groups and in handling sensitive or confidential information.

· Strong knowledge of office software (Outlook, Word, Excel, Sharepoint).

· Knowledge of graphic design software an asset.

· Class 5 BC driver’s license with a clean abstract.

· Available to work evenings and weekends when required.

· Conditions may include working alone, use of stairs, lifting of at least 30lbs, driving of company vehicles (owned and rented), and working in low-light environments. Occasional travel may be required.

 

 

Additional Information:

· Ideal part-time start mid-December for cross training with full time hours beginning on or around January 13th. Timelines are flexible for the right candidate.

· This is a full-time position averaging 32 hours per week including some evenings, weekends and extended days. Standard overtime and time bank provisions apply in accordance with provincial overtime regulations.

· Eligible for the CTF Health & Dental Benefits package after completion of a 3-month probationary period.

· Willing to complete a vulnerable sector criminal record check when required for support of education programming involving children, youth or vulnerable adults.
